Quotations

Price the work before you bill for it, then turn an accepted quote into a real invoice in one tap.

A quotation is a price you've offered — not a sale. It creates no invoice, no receivable and no stock movement. Its whole job is to become an invoice once the customer says yes.

Create a quotation

  1. 1Open Profile → Quotations and tap New quotation.
  2. 2Choose the customer.
  3. 3Set Valid until — a quote with no expiry is a price you're held to forever.
  4. 4Add your lines with quantity, rate and GST. Save.

Quotes are priced with exactly the same maths as an invoice, so the number you quote is the number that gets billed.

Track what's open

The quotations screen shows how many are open, the total value quoted, how many you've won, and how many have expired. Expiry is worked out live from the valid-until date — a quote doesn't stay live because nobody remembered to check it.

Convert to an invoice

When the customer accepts, tap the arrow on the quote. InvoiceKaro creates a real invoice from those exact lines — with proper GST handling, a compliant invoice number, and stock movement if any lines are linked to catalogue items.

Note
A quote can only be converted once. If you try again you'll be told it's already been converted, rather than the customer being billed twice.
