Keep billing through a connection outage. Prepare the browser while you're online, then save new invoice drafts and Quick Bill cash sales on that device. When you reconnect with InvoiceKaro open, saved bills sync to the same account automatically.
1. Prepare before going offline
- 1Sign in at invoicekaro.com/app/ while connected. Use the browser and browser profile you'll use for billing, on a device you trust. Your role needs permission to create invoices.
- 2On a computer, open Settings → Offline billing. On a phone, open More → Settings → Offline billing.
- 3Choose Enable offline billing and wait until this Settings section says Offline billing ready. It shows Last prepared, plus the number of customers and products saved. A preparation error means you should reconnect and try again before relying on offline billing.
- 4Repeat this on each device or browser you use. Before a busy day, choose Refresh saved data while online, especially if your customers, prices, products or business details have changed.
Preparation saves the app, your business details, customers, products and recent invoice summaries for this browser. Stay signed in and reopen the same app address in the same browser profile during an outage. A different browser, private window or web address has separate saved data.
Preparation, saved bills, Sync now and Device storage all stay in Settings → Offline billing (on a phone, More → Settings → Offline billing). Outside Settings, a notice appears while the device is offline, with a short reconnect or sync update when internet returns. Normal online use has no permanent offline-billing strip; check readiness and each bill's status inside Settings.
2. Save an invoice draft without internet
- 1Open New Invoice (on a phone, Invoice or New Invoice on the floating button, depending on your business type), or choose New offline bill in the Offline billing section.
- 2Pick a saved customer, add items from the saved catalogue or enter lines yourself, and check the dates, place of supply, quantities, prices and tax. The catalogue date tells you how recent the saved information is.
- 3Choose Save offline draft. Wait for the saved confirmation, then open Settings → Offline billing (on a phone, More → Settings → Offline billing) to check the bill appears as Waiting to sync with a local reference such as
LOCAL-….
After sync, this becomes a normal draft with an invoice number. Open it, check it and use the usual sending or Mark as sent actions to issue it. Saving the offline draft does not send a message or record a payment, even if you selected Cash in the invoice form.
3. Save a cash sale in Quick Bill
- 1Open Quick Bill and add products from the saved catalogue. Check quantities and the total.
- 2After receiving the cash, choose Save cash sale offline. Wait for Cash sale saved on this device before starting the next sale.
- 3Open Settings → Offline billing (on a phone, More → Settings → Offline billing) to see it as a Cash sale. When sync completes, the sale is recorded against Walk-in Customer as paid, with its cash payment and stock changes.
Local copies, dates and final numbers
- Use Print offline copy on a saved bill to print its items, total and local reference. Allow the print pop-up if your browser blocks it.
- The copy is clearly marked OFFLINE COPY and not a tax invoice. Its local reference is not an official invoice number.
- Final numbering happens during sync. Your chosen invoice date is retained; an offline cash sale also keeps the original sale and cash-payment date, rather than using the day you reconnect.
- After sync, choose Open invoice while online to use the final invoice number and normal PDF, sharing and printing actions. Print offline copy continues to produce the separate local copy even after sync.
4. Reconnect and check the result
Keep InvoiceKaro open, or reopen it when internet returns. Pending bills sync automatically while the app is open and when you return to it. Automatic sync needs the browser or app to be open. You can also open Settings → Offline billing (on a phone, More → Settings → Offline billing) and choose Sync now.
| Status | What to do |
|---|---|
| Waiting to sync | Keep the app open with a working connection. If a connection drops during sync, keep the saved bill and retry it; do not enter the same sale again. |
| Needs review | Read the message on that bill, fix the stated account, plan, customer or stock issue while online, then choose Sync now to retry. Contact support if you cannot resolve it. |
| Synced to your account | Use Open invoice to check the final invoice. A normal offline invoice is still a draft; an offline cash sale is paid once its sync finishes. |
Current plan limits, role permissions and billing checks still apply when bills sync. Saved stock is only a snapshot: another sale can change it before you reconnect. The app keeps a rejected bill visible for review. Retries use the existing saved bill, so a lost confirmation does not require creating a replacement.
Device storage
The Device storage card shows This site uses … of … available. These are the browser's estimates for the entire site, including saved app files and other site data, not just your bills. The allowance can change and is not reserved space. Some browsers do not provide an estimate.
If Protect saved data is available, you can choose it to ask the browser to protect this site's data from automatic cleanup when storage is low. The request happens only when you press the button, and the browser may decline it. The card shows the result. Protection does not stop someone clearing site data or protect against losing the device.
Browser bills are kept in browser-managed storage called IndexedDB, inside that browser profile; they are not a file in Downloads or a folder you need to choose. Existing saved bills move to this storage automatically, keeping their local references, account and sync status. Do not recreate bills or clear storage to perform the update.
- Up to 200 unsynced bills can wait on the device. Reconnect and sync before adding more if you reach this limit.
- Up to 20 recent synced device copies are kept locally. Older synced invoices remain in your account and can be opened online.
- If storage is full, blocked or unreadable, keep this site's saved data. Free space elsewhere on the device if needed, retry, and contact support if the error remains. Clearing InvoiceKaro data can erase the only copy of unsynced bills.
Signing out, switching accounts and removing a copy
Logging out hides your saved bills and ends offline access to that session; it does not sync them. Sign in online again to the same business and the same staff account, using the same browser profile and app address, to recover that account's saved bills and resume syncing. An expired session also needs an online sign-in. These saved bills remain tied to the original account.
Remove from device removes only the local copy. For a synced bill, the invoice remains in your account. For an unsynced bill, removal can stop it ever reaching your account. If a bill needs review, check whether an invoice already exists before confirming removal. A bill with an uncertain sync result cannot be removed until that result is resolved. Prefer resolving and syncing bills to removing them.
What still needs internet
Use a connection to create customers, change existing account invoices or settings, check live stock, send messages, collect online payments, open normal invoice PDFs, use Scan Bill or Ask AI, or sign in again. Offline billing is for new drafts and cash sales using prepared data; it is not a live copy of every dashboard or account page.
